We are currently recruiting for a Medical Staff Coordinator. This is a full-time week day position.

One or two days working remotely may be an option for this role.

Position Summary:

The Medical Staff Coordinator serves as a resource to, and collaborates with, Medical Staff and hospital administration. Responsible for maintaining and monitoring the operational process and ongoing, privileging and medical staff governance functions of the office of Medical Staff.

In collaboration with the Credentialing Verification Office (CVO) the Medical Staff Coordinator will act as a liaison between the CVO and the SHC-Boston office, supporting the credentialing and privileging application process. The Medical Staff Coordinator will maintaining strict confidentiality and ensuring compliance with organizational policies and accrediting and regulatory agencies.

Responsibilities/Essentials Functions :

• Coordinates and collaborates with Residency Program Directors Fellow/Resident/Student/Observer following processing and primary source verification; performs review and analysis, identification and follow up of any missing items; prepares files for review and recommendation by the medical staff.

• Coordinates performance review of Residents per the Medical Staff Bylaws.

• Coordinates requests for credentialing and privileges to CVO, including but not limited to: status/specialty/anticipated start date/billable status/email

• Coordinates the credential file from the CVO through the approval process per Medical Staff Bylaws.

• Responsible for the collection of the appropriate facility-specific forms required for onboarding.

• Supplies affiliate hospitals with information needed for SHC providers to be credentialed and privileged at the affiliate. Participate/facilitate as needed, any hearing or appeal processes per the medical staff bylaws.

• Responsible for the facilitation and execution of the on and off boarding and orientation of all providers. (Including but not limited to coordinating PDCF process) and provide necessary information to the CVO.

• Collaborates with pharmacy director to enroll all providers in EPCS (electronic prescription of controlled substances) called Imprivata.

• Management of CV maintenance and academic postings.

• Work with team on call schedules, contracts, budgets, expenses, etc.

• Generates queries and reports from credentialing and privileging database as requested.

• Responsible for working with the medical staff on the development of clinical privilege and maintenance of the privilege forms.

• Coordinates the fellow/resident/student/observer paperwork with the affiliated facilities to ensure completion of all SHC-Boston required documents in advance of rotation start date

• Responsible for the input of the fellow and resident information on a monthly basis into the credentialing database – MD-Staff

• Interprets federal, state, local, and government/insurance agency regulations and guidelines, as well as SHC-Boston Medical Staff Bylaws, rules and regulations, policies and procedures; advises providers, management, and administrators on compliance issues as appropriate. Participants in the ongoing assessment of governing documents to ensure continuous compliance.

• Ensures Medical Staff Bylaws are reviewed and updated, as needed, as well as complies with HDQ-Amendment Team recommendations on a timely basis

• Facilitates due process that complies with the Medical Staff Bylaws, as well as applicable legal, state, and regulatory requirements.

• Participates in the Joint Commission Surveys regarding privileging, medical staff functions, quality, policies and procedures, medical staff bylaws and hospital regulations and procedural rules.

• Performs ad hoc job-related duties as assigned.

Three (3) years plus In Medical Staff Services and/or five years plus of hospital management experience

Associate Degree in Medical Staff Services, or a combination of equivalent education and management experience.

Up to date on current federal and state laws and regulations relevant to medical staff functions with the ability to draft needed revisions to documents required for compliance. Experience using medical staff database technology, supporting optimal use of the database.

Knowledgeable of all areas re: medical staff governance and applicable Joint Commission standards that address medical staff organizational requirements.

Experience with one or more Joint Commission surveys, including the preparation of medical staff for interview and file review components of the survey and attendance/participation in previous survey is a requirement.

Microsoft office suite, along with excellent communication and writing skills required; medical terminology knowledge strongly preferred.
