Job Opening: Intake Coordinator

FTE:     1.0 FTE – 40 hours/week         

FLSA Status: Non-Exempt

Hours: Monday – Friday, 8:00 am – 4:30 pm

Job Summary: Provides new patient intake support, ambassador of hospital/clinic services, and provides registration and scheduling functions for the outpatient clinic.

Essential Duties:

  • Coordinates the New Patient Intake process for all children desiring to be treated at Shrines Healthcare for Children – Twin Cities. This includes, but is not limited to assisting in and/or completing applications for treatment, speaking directly with Primary Care Physicians/Clinics about patient referrals (medical and insurance), providing information regarding Patient Financial Services, coordinating information regarding new patients with Shrine Temples, gathering information and data to support patient guardianship.

  • Tracks and monitors all applications and their outcomes for statistical purposes. 

  • Coordinates the application process and scheduling process for New Patient Screening clinics.   

  • Interacts with medical staff, Health Information Services, and clinical staff on a daily basis to complete essential job duties.                                                                                

  • Is an essential member of the marketing cycle – works together with the public relations team as an ambassador for hospital and clinical services.                                                    

  • Provides backup assistance to centralized scheduling and registration for Outpatient Clinic, Radiology, Physical and Occupational Therapy, surgery and various off-premise medical related services.      

  • May perform tasks related to the patient surgical/hospital admission and discharge process.  

  • Responsible for clerical functions, ensuring proper documentation of patient activities, including computer generated reporting on daily activities, census, admissions, and scheduling/rescheduling.


Job Requirements

Minimum Qualifications (Required):   

  • High school diploma/GED required                              

  • Two years of experience working in a Pediatric and/or Orthopedic setting.                       

  • Understanding of medical terminology                                                                           

  • Proficient in Microsoft office suite (Word, Excel, Outlook, PowerPoint)                             

  • Proficient in keyboarding, and utilization of health care related computer systems (Cerner, Epic)  

  • High degree of self-motivation, and ability to work independently under pressure                          

  • Excellent communication skills – verbal and written                                                                    

Preferred Qualifications:

  • Associates degree (A.A.) in a healthcare related field.

  • Knowledge of ICD-9/10 and CPT coding    

  • Previous experience obtaining authorizations from third party payers, and referrals from primary care clinics/practitioners
